Faculty Success Updates November 2025

Last month we outlined the variety of integrations of the Faculty Success system with other campus systems, in support of the key value, Enter Once; Use Many Times. This month, we will focus specifically on the integration with the Kuali Research system, provided by the Office of Research Administration (ORA).

Many details about the data integration with the Kuali Research system are presented below. However, if you have any questions or run into any issues with this data, please do not hesitate to contact us at fs-help@umd.edu.

 

ORA Data in Faculty Success

Information from the Kuali Research system is represented in Faculty Success in three different activity screens:

  • ORA-Managed Awards - providing transactional data for contracts and grants for the calendar year
  • ORA-Managed Proposals - providing transactional data for proposals for the calendar year
  • Active ORA-Managed Awards - all active contracts and grants, regardless of their transactional activity

Kuali Research tracks sponsored research funding—both requested and awarded—from various sources, including federal agencies, the State of Maryland, universities, corporations, institutes, and foundations. It does not include extramural funding information, and gifts are typically not recorded in Kuali Research. Instead, these contracts and grants may be documented on the Other Awards and Gifts screen. Proposals may be documented on the Other Proposals screen.

Funding sources can be indicated for publications by selecting the appropriate entry in the drop down menu for the "ORA-Managed Awards" or "Other Awards and Gifts" screens in the "Funded By" area of the publications data screen.

 

How Proposals and Awards Are Represented

Awards and proposals provide transactional information for a calendar year. Multi-year awards, for example, with transactions occurring in each year of the award, will have separate entries. Note that not all active contracts and grants have transactions each year, even if they remain active. A comprehensive list of all active contracts and grants can be found on the Active ORA-Managed Awards screen. Data from both the ORA-Managed Awards and Active ORA-Managed Awards screens are included in the Annual Activity Report under the “Contracts and Grants” section.

Awards in both of the award-related screens are presented by sub-account through the "Award ID" field, the Kuali Research-generated award number. An award with multiple accounts will have award numbers with the same root number and different suffixes. E.g., 027012-00001, 027012-00002, 027012-00003 are all accounts for the same project; -00001 is the parent account and -00002 and -00003 are the child accounts.

Only those investigators recognized by the funding agency/organization and included in the credit split are included in the record. Changes to investigator listings require campus and, often, sponsor approval. If your role in a sponsored research project is not reflected in Kuali Research, you may document your involvement on the “Other Awards and Gifts” screen.

Beginning in late 2024, the Office of Research Administration (ORA) started including "Total Anticipated Dollars" in the Kuali Research data integrated with Faculty Success. Faculty Success now automatically includes this information in the University CV, along with the percent faculty share, to provide a more complete picture of the externally-funded research.

 

Data Update Schedule

Updates from the Kuali Research system are applied by the 15th of each month, with information that is current through the end of the prior month. If a record has not been updated in more than six weeks, it likely means no award actions have occurred since that time.

The data on these screens cannot be edited. To request corrections for active projects in Kuali Research, please contact your department's business administrator. Additionally, you may use the “Notes & Annotations” field to document any discrepancies.

 

Frequently Asked Questions

Award or proposal is not listed in Faculty Success

Investigators listed in the Kuali Research system are those the funding agency/organization recognizes and includes in the credit split. To document your involvement in an award or proposal that doesn't appear in your ORA-Managed Awards or Proposals activity areas, use the “Other Awards and Gifts” screen. Reports in Faculty Success, such as the Annual Activity Report and the University CV, include the information from both the ORA-Managed Awards and the Other Awards and Gifts screens.

Proposal Status in Faculty Success Out of Date

When a funding organization determines a proposal will not be funded, the organization notifies the investigators associated with the proposal; they do not notify the university or the Office of Research Administration. The investigators are the only ones on campus that have that information. With a recent change in Faculty Success, these investigators can now update the proposal status on the ORA-Managed Proposals screen, using the “Updated Proposal Status” field. Updated proposal statuses are shared with the Office of Research Administration on a biweekly basis, and the Office of Research Administration will then update the status in the Kuali Research system.

Total Anticipated Amount is Missing

Beginning in late 2024, the Office of Research Administration (ORA) started including "Total Anticipated Dollars" in the Kuali Research data integrated with Faculty Success. Awards and contracts from 2023 or earlier may be missing this information. If this is the case, contact fs-help@umd.edu to have the Faculty Success Administrator update the field on the backend.

Information about my award or proposal needs correction 

Requests for corrections to Kuali Research for any active projects can be made through your department's business administrator. You can also use the Notes & Annotations field to document any discrepancies, as needed.
