Adding Names to Website Lists
The website includes individuals in a number of categories. For example, an individual might be the recipient of a university-level award, or a committee member, or a member of the OFA staff.
To create a Person record
- Choose Person from the Add Content menu.
- Add their name and college. College is chosen from a taxonomy list, so if you type arc and press enter, you would see ARCH. If you type ar and press enter, you would see both ARCH and ARHU.
- For faculty members, add their department, which is chosen from a taxonomy list. If you type mus and press enter, you would see School of Music. If the department is not yet in the taxonomy, type the department out using the formal name (e.g., Department of Physics). It will be added to the taxonomy automatically. For a joint appointment, go to the second block and find the second department (or add it).
- If the individual is retired or deceased, or has left the university, choose the appropriate item from the status taxonomy. Your choice will be added beside the person's name automatically.
- If a bio is appropriate, add the bio. Remember to paste unformatted text (ctrl-shift-v for a windows machine).
- If a photo is appropriate, as with a current award winner, add the photo.
To add the Award information
- Click on the Award section to open the tab.
- The award name is chosen from a list of award types, so if you type dis and press enter, you would see awards that include those characters, and you can choose the appropriate award.
- Enter the award date. Some awards are for a specified time period, such as the Academic Leadership Program Scholars. Other awards, such as the Board of Regents award, have a date which is just the year in which the person received the award. If you aren't sure what to enter, open a new tab and look at the award listing. The award date must always follow the pattern of previous awardees, or the individual won't show on various lists.
- If applicable, enter the Award Detail. This is just a text box, rather than a taxonomy, so use appropriate capital letters.
To add Promotion and Tenure information
- Click on the Promotion and Tenure section to open the tab.
- The Promotion and Tenure Awards information comes from a taxonomy. So for example, if you type prom, you'll have a choice of Promotion to Highest Rank, Promotion to Librarian IV, or Promotion to Professor. The only other choices are Tenure Awarded and Permanent Status Awarded.
- Make sure the Promotion and Tenure Year is correct, and click Save.
When you press Save, the person will automatically be added to the appropriate list.
